Managing your lead list - adding tags.


We have a new lead distribution system in Zoho that allows us to provide each team with a list of leads/orders assigned only to them.


Initial orders are now auto-assigned to a specific team via an identifying tag. Since the first  order has already been assigned to a team, subsequent orders placed by or for the same customer within a 24 hour period are not assigned to anyone – and you should not tag them with your team lead tag. 


You should work only from your assigned lead list in the reports section (not other list views in zoho). 


  1. Access your assigned lead list and click refresh.

  1. Open an ORDER from your assigned lead list by clicking on the subject (order id). 
    1. Ensure that the order has the correct tag indicating it belongs to your team. 
      1. PSS_call
      2. Oltask_Call
      3. Coach_call
      4. 1 min video (in this video we’d only add the “lead” tag the order that has the team _call tag applied.
    2. Add your team lead tag to only the order that has the team _call tag applied. 
      1. Make sure to click save after applying the appropriate tag.
      2. Check to see if the customer has other orders placed on the same day before calling. 
    3. Adding the team lead tag allows us to know how many leads were claimed by your team. This is important to figure lead conversion. 
    4. So as not to skew conversion data please DO NOT add your team lead tag to any other orders/leads, other than those on your assigned lead list. Nor should you ever remove and tags from orders. 
  2. Call the lead.
    1. If you do not reach the lead, you can send them a message according to the guidelines above.
  3. Add a note, tell us what happened, make sure to add your name to the note according to the guidelines above. 
  4. Go back to the lead list and refresh it to ensure you start with the most updated lead list. 
  5. Repeat. 


Note: 

  1. When you place an order, a tag indicating which team placed the order will be applied to all approved orders. If the order declines, no tag will be added since the initial order was already assigned to your team. (Since the initial order was exclusively assigned to your team, you should NOT tag subsequent declined order/s - rest assured they will not be added to any lead lists). 
  2. Occasionally on your list you may see a customer appear more than once (see image below) 

Note that this customer has 3 orders all with “different” order id numbers. Notice that only 1 of them has your team _call tag. That is correct and should be left this way. The one with your team _call tag is the only order you should add your team Lead tag to. 


(If the customer appears more than once on the report but with the same order id, then both will show your team _call tag because even though it shows twice on the report there is really only 1 order w/ multiple products).
